ECSH112000 - Contact with customers: Secure comms
Secure communications (comms) areÌý²¹n acceptableÌýmethodÌýof communications with businesses during and after registration, alerting businesses that there is a message to be viewed, or an action to undertake,Ìýin a secure way. When a secure commsÌýis generated,Ìý²¹n email is sent to the business, using the emailÌý²¹ddressÌýprovided by it,ÌýinformingÌýitÌýthat there is a message in itsÌýgovernment gateway account. TheÌýbusiness must log on to its government gateway account toÌýview the message.Ìý
It is important that the business takes the action specified as the failure to do soÌýcould result in a sanction being imposed.Ìý For example, if a business is sent a notice via secure comms informing it of itsÌýfailure to pay the annual fee and does not take the necessary corrective action specified in that secure comms, its registration can be automatically cancelled.ÌýBy issuing notices via secure comms, the notice is considered to beÌýserved on the business, unless we become aware that the email has bounced back.ÌýÌý
Secure comms areÌýgeneratedÌýby authorisations in order toÌýprovide businesses with updates: examples can include updatesÌýon their registration applications,ÌýnotifyingÌýthemÌýwhen their annual supervision feeÌýis due,Ìýand requestsÌýfor further information or evidence in relation to their application.ÌýÌý
Normally we provide businesses with 21 days to respond to secure comms requesting further information, unlessÌýthere is a specific need for a shorter deadline.ÌýÌý
Secure comms areÌýnot used for complianceÌýinterventions or other HMRCÌýcommunicationsÌýto businesses.ÌýÌý
SomeÌýsecure comms areÌýmanually generated and there are different templates for the various requests for further information. The templates are availableÌýhere.ÌýÌýThe SWI for creating secure commsÌýis available here. Ìý
There areÌý²¹lso automatic secure comms â€ these are used for when businesses need to pay their annual supervision fee, such as the “Fee Outstandingâ€ secure comm. These are automatically generated and do not need to be manually created.Ìý
