How to complete your Higher Tier Capital Grant application by email or post

To submit your application by email or post, you need to complete an:听
- application form听
- application map听
- provide supporting documents听

Download the鈥�Higher Tier Capital Grants application form鈥痜rom 188体育.听
If you cannot access 188体育, request a copy of the application form by email at鈥�ruralpayments@defra.gov.uk鈥痮r telephone on 03000 200 301.听
If you鈥檝e received the pack by email, save it to your computer and fill in the form on your screen.听
If you鈥檝e received the pack by post:听
- use black ink and write in capital letters (do not use pencil or felt-tip pen)听
- do not cross through whole pages or remove pages听
- correct mistakes and initial and date them (do not use correction fluid)听
- completely fill any checkbox containing a mistake and put an 鈥橷鈥� or a tick in the correct box听
How to complete your application form
You must sign your application at section 5 if you are submitting a paper application by post.听
Put a tick in the box next to the Higher Tier Capital Grant you are applying for. Tick one box only.听
Section 1: applicant details听
Complete the following details:

enter your name
-
enter your single business identifier (SBI) number
-
enter the agreement title, for example the name of the land or farm. This must match the agreement title entered on the application form

tick the box if you have sent us a Land Ownership and Control (LOC) form. You need to send us a鈥疞OC鈥痜orm if you do not have land ownership and control over all the land included in this application for the duration of the proposed agreement

tick the relevant box to show if you are VAT registered
Download the鈥�Land Ownership and Control form. Telephone 03000 200 301 to ask for a paper copy if you cannot get online.听
Section 2:鈥疕igher Tier Capital Grants actual cost items听
Enter details of land parcels registered to your鈥疭BI鈥痺here the actual cost capital works will be carried out. See Section 5.1 of the鈥�applicant鈥檚 guide鈥痶o find out the actual cost capital items.听
The table in the application form is laid out as follows.听

Section 3:鈥疕igher Tier Capital Grants fixed cost items听
Enter details of the land parcels registered to your鈥疭BI鈥痺here the fixed cost capital works will be carried out. If you require an additional table, please create and submit a continuation sheet. See Section 5.3 of the鈥� 鈥痶o find out the fixed cost capital items.听

Section 4: declaration and undertakings听
Complete this section to confirm that you have read and understood the requirements of the鈥疕igher Tier Capital Grants scheme and the undertakings that you are making when submitting your application.听
If you鈥檙e submitting your application by email, you do not need to sign the application.听
Provide supporting documents and evidence听
You must send supporting documents at the same time as your application form.听
With your application, send:听
- quotations from 3 different contractors if applying for actual cost items听
- a map of your holding听
If you do not have management control over the land for the duration of the proposed agreement, send either:听
- a 鈥疞and Ownership and Control鈥� form听
- an agreement from your landlord, if your landlord is a public body听
You should keep the following documents for when you need to claim for payment:听
- receipted invoices, or bank statements (where a receipted invoice is not available)听
- photographs of the completed work听
- consent from Natural England to carry out works on a site of special scientific interest (SSSI), if required听
You must also provide the following documents if you鈥檙e asked to do so:听
- any consents or permissions connected with the work in addition to the ones stated above听
- photograph of site before works starts听
Prepare a map to accompany your application听
You must complete your map to the required minimum mapping standards. You must:听
- use an appropriate scale map for the size of your application area (from 1:2500 scale to 1:10000 scale)听
- show the whole land parcel on which each of the capital items to be included are located听
- show the location of the proposed capital works (mark the capital items with a coloured pen and list the capital item code(s) next to them) 鈥� this includes proposed planting areas听
- show any proposed areas of open space within the proposed planting areas听
- show fence lines, stating which type of fence (code) you are applying for听
- number and show the total number of maps, for example 鈥榤ap 1 of 3鈥櫶�
You must also:听
- write your鈥疭BI, the application year, and agreement title (as detailed on the application form) on the top right of the map听
- write the name of business or applicant 鈥� this is the name (beneficiary) that is registered with us for the鈥疭BI, on the right-hand side of the map听
- write a 6-figure鈥疧S鈥痝rid reference for the centre of the map on the bottom left of the map, if there are no numbered鈥疧S鈥痝rid lines听
- strike through any mistakes 鈥� do not use correction fluid on your map听
If your map does not meet these standards, we will send you a base map to mark up and return.听
Submit your application, map and supporting documents听
You should scan and email all documents to the Rural Payments Agency (RPA), making sure you put your鈥疭BI鈥痮n all documents.听
You can submit digital photos by email but do not scan printed photos as the quality is not good enough.听
The maximum size of emails we can accept is 32MB.听If the email exceeds this limit, please send a further email and use the same subject heading. Add the number of emails at the end of the subject heading, for example, 1 of 3, 2 of 3, 3 of 3.听
For security reasons, we cannot accept discs, USB pen drives or other external storage media.听
